Gorsey Clough implements cutting edge electronic medicines management solution
Gorsey Clough Nursing Home has recently implemented a new state of the art bar-code enabled medicines management system. The Proactive Care System (PCS), provided by Bristol based Invatech Health, has enabled staff to save time, enhance resident care and safety, and ensure compliance with regulatory requirements.
Up until recently, the Home found itself managing medications using a traditional paper based system and committing considerable amounts of nurses time to maintaining medicine stock levels.
The new system now involves the local pharmacy applying a dispensing label that includes a two-dimensional barcode containing information that identifies the individual resident and their medicine. The pharmacist uses a medicine barcode scanner to make sure the correct medicine is dispensed.
The Pharmacy and Gorsey Clough has found that dispensing in this way is far safer and more efficient than the previous system, which used to involve dispensing medicines into monthly blister packs. It has meant that medicines can now stay in their original manufacturers packaging with far less risk of a medication error occurring now through the use of barcode validation.
Staff at the Home now use a handheld electronic device to access each resident’s medication record. On selecting a resident, the device shows the resident’s photo, their date of birth, any drug allergies they have and a list of any medicines due to be administered. A unique barcode is then scanned on both the resident’s medicine cabinet and on the labelled medicine itself to confirm that the correct medicine has been selected.
The system maintains a running count of how much of the residents’ medicines is available at any given time and alerts the pharmacy and staff when less than eight days supply is remaining and this prevents residents medicines from ever running short. This also allows us to better control the stock levels of medicines which in turn reduces stockholding and wastage.
A great benefit of the system is that resident’s data and the Pharmacy is now linked in real time via cloud technology allowing both sites to view the same information. The pharmacy can oversee every process relating to medicine management within the Home and it brings the pharmacy even closer to resident care and creates new opportunities for medicines optimisation and clinical review.
We have found the new system to be far more personal and has allowed staff to spend even more time with the residents. From a management perspective, there is an accurate and easily retrievable record of medicines administration which helps us to ensure we are meeting all regulatory compliance and medicines administration requirements.
